Interview Management

In the Interview tab, you can view existing interview notes or create a new one.

Interview Notes Visibility

When you create a new interview, the notes you enter under "Student Notes" will be visible to the student and their parents when they log in. If there's anything you don't want the student to see, add it under "Staff Notes" instead.

Interview Titles can be used to create reusable interview template questions. These can be set up in Interview Settings.

Post-Interview Tasks

You can assign a task to a student after an interview. The student will see the task on their side and can tick it off when completed.

To track progress:

  1. Go to Reports and Lists

  2. Select Lists

  3. View all tasks you've set and who has completed them

Interview Settings

To configure your interview defaults:

  1. Go to Careers SetupInterview Settings

  2. From here you can:

    • Set default interview questions in the interview box

    • Override the message students see when booking an interview

    • Add your own booking system links (e.g. "You Can Book Me")

AI Note-Taking

The AI note-taking feature allows you to record your interview and automatically summarise the notes, which you can then paste directly into the Student Notes or Staff Notes fields.

Important: Always read and edit the AI-generated summary before saving or sharing. The summary may need corrections or adjustments.

Data Security & Privacy

Audio storage: Original recordings are stored on Careers Central's own infrastructure on AWS S3 (Amazon Web Services) — the same storage layer used elsewhere on the platform (e.g. Bulls-Eye quiz result reports). These buckets have strict access controls, so recordings are only accessible to users within the school who hold edit permissions over the associated interview notes.

Transcription & summarisation: A copy of the audio is sent to OpenAI's servers for processing. Key details:

  • Audio and transcripts are retained on OpenAI's servers for up to 30 days

  • Access during that period is restricted to authorised OpenAI personnel for abuse monitoring and operational support only

  • No data is used for model training

  • After 30 days, data is deleted unless legally required to be retained (e.g. due to a court order)

  • OpenAI never has access to the AWS S3 bucket — the original recording remains under Careers Central's control throughout
